    A good folder system answers one question: where would I look for this file next time? It should match the way you think, use only a few levels and give important documents one logical home.

    Start With Broad Folders

    Choose a small set of top-level folders based on real parts of your life or work. Useful starting points may include Documents, Household, Work, Photos and Study.

    There is no perfect list. A folder called Household may feel natural to one person, while another may prefer separate folders for Property, Car and Family.

    Add Layers Only When They Help

    Create a subfolder when it separates a group you often use. For example, one branch could look like this:

    • Documents
      • Household
        • Insurance
        • 2026

    Avoid making a new folder for every file. If you must open five or six folders to reach one document, combine a few narrow levels.

    Choose the Home Before You Save

    Pause when you create or download an important document. Save it in the folder where you would expect to find it months later, not simply in the first place offered by the device.

    In a shared or cloud folder, check the account and folder path before saving. This helps prevent one copy landing in a personal account while the current copy sits elsewhere.

    Use Search as a Backup Plan

    Device search can find files by name and type. It may also search inside supported files when their location and contents are indexed.

    Recent-file lists can help with recently opened documents, but they should not replace a reliable folder system. Build a structure you can browse even when you cannot remember the exact file name.
